Quick answer

How do you calculate the cost of slow lead follow-up?

Take the leads that get a slow reply each month and multiply them by the gap between your close rate on fast replies and your close rate on slow replies. That gives the customers lost. Multiply by your average customer value for the revenue lost.

How it works

Three steps, no sign-up

  1. 01

    Enter your leads

How many leads you get each month and what a customer is worth.

  2. 02

    Add your reply speed

The share of leads that wait for a reply, and how fast and slow leads convert for you.

  3. 03

    See the gap

The customers and revenue you would gain if every lead got a fast reply.

AI Marketing & Automation
Where do the numbers come from?

Only from you. The calculator uses your own lead count, close rates and customer value. It adds no industry averages.

What counts as a slow reply?

You decide. Many businesses count any lead not answered within the hour, or any lead that arrives outside working hours.

What if I do not know my close rates?

Check the last three months in your CRM or inbox: compare leads you answered quickly with those that waited. A rough figure is enough to see the size of the gap.

How can I reply to leads faster?

Send an instant confirmation by email or text, route new leads to one person, and alert them on their phone. Automation can do the first reply at any hour so a person only handles the conversation.

Does this include missed phone calls?

It can. Count an unanswered call as a lead with a slow reply if you call back later.

How do I measure my own response time?

Pick the last 20 to 30 leads and note when each arrived and when someone first replied. Group them into fast and slow using your own cut-off, then compare how many in each group became customers.

What is a realistic first step to reply faster?

Send an instant confirmation that says when the person will hear back, and send every new lead to one named person with a phone alert. Both can be set up without changing your CRM.

Does the calculator work for online stores?

It is built for businesses that sell through enquiries, quotes or bookings. For an online store, the break-even ROAS and CPA calculator is the better fit.
